SaaS Bookkeeping

Your SaaS books, kept properly.

Most SaaS founders spend more time chasing their own numbers than they should. Subscription revenue, deferred income and monthly reconciliations are all manageable — they just rarely get the attention they need when the product is the priority. Fixed monthly fee, ICAEW chartered, same-day replies.

  • Clean, current books every month — no end-of-year scramble
  • Tax position visible throughout the year, not just when the bill arrives
  • VAT, corporation tax and HMRC filings handled as a matter of course
  • A chartered accountant who already understands how SaaS revenue works

No long-term contract. If it is not working after three months, you leave with clean books and nothing owed.

Sound familiar?

Bookkeeping falling behind while the product moves forward?

SaaS businesses generate complexity that general bookkeeping advice rarely anticipates. Subscription billing, deferred revenue, monthly recurring income that does not always land cleanly in the bank — it all builds up when the founder is focused on the product. By the time someone looks at the books properly, there is often more to untangle than expected. It is solvable — it just takes longer the more you leave it.

  • Bookkeeping months behind because no one has had time to do it
  • No clear view of actual tax liability until the accountant sends the bill
  • VAT obligations and HMRC deadlines managed reactively rather than in advance

What sorted looks like

Books reconciled and current every month, so the numbers you are looking at reflect the business you are actually running. Tax position visible throughout the year rather than presented as a surprise in February. VAT and HMRC deadlines handled before they become urgent.

  • Books reconciled monthly — no year-end archaeology required
  • Tax liability visible well before HMRC asks for payment
  • VAT returns filed on time and MTD-compliant as standard
  • A fixed monthly fee that does not move regardless of how many questions you ask

What you get

What your monthly fee covers

Three things that keep your books current, your tax position clear and your compliance handled — for one fixed monthly fee.

01

Monthly Bookkeeping and Reconciliation

Your accounts are updated and reconciled every month on Xero, so the numbers you see reflect where the business actually stands. No year-end catch-up, no records in a state of disarray — just clean, current books ready for whatever the tax return or a conversation with investors requires.

Included as standard
02

VAT Returns and MTD Compliance

Quarterly VAT returns prepared and filed with HMRC, Making Tax Digital compliant as standard. Your VAT position is monitored throughout the quarter — you will not approach a threshold or miss a deadline without knowing it in advance.

Quarterly, fixed fee
03

Corporation Tax and Year-End Accounts

Annual accounts and CT600 prepared and filed on time, with no surprises at the deadline. Because your books are current throughout the year, your tax liability is visible well before payment is due — long enough to plan, not just react.

No extras, no surprises

Why Swift

Why SaaS businesses choose Swift

There is no shortage of accountants. Here is what is different about working with one who runs entirely in the cloud and responds the day you ask.

☁️

Cloud-native from the start

Everything runs on Xero. No emailing spreadsheets, no dropping records into a portal and waiting a week. Your books are live, accessible and updated on a schedule that keeps them useful. A Xero Gold Partner status means the setup is done properly, not just connected and left.

💬

Replies the same day

Questions get answered the day you ask them. Not logged, not queued, not passed to a junior — answered. If you want to know whether a software subscription is deductible or what your tax position looks like after a good quarter, you will know before the end of the day.

🔒

One price, clearly agreed

Your monthly fee is fixed and does not move. No hourly billing, no invoice that arrives larger than agreed, no surprises when the year-end comes around. Your accounting costs are as predictable as your other fixed overheads — which is, frankly, the way it should be.

Getting started

Up and running in four steps

Four steps from first contact to everything being handled. No complicated onboarding, no forms that need a lawyer to interpret.

1

Send your enquiry

Fill in the form on this page. Kieran reads every enquiry personally and responds the same day with a clear next step. No automated holding messages.

2

A short discovery call

Twenty minutes to understand your business, your current software and what needs sorting. By the end of the call you will know exactly what is covered, what it costs and when things start.

3

We handle the setup

Your Xero account is configured, your records are brought up to date and everything is connected. You do not need to do anything except confirm you are happy to proceed.

4

Ongoing — nothing falls through

Monthly bookkeeping, quarterly VAT, annual accounts and corporation tax — handled as a matter of course. Your tax position is visible throughout the year. Surprises are largely avoidable when the books are current.

“One of the friendliest accounting companies I’ve ever spoken to. I was fairly stressed about all of the big terms HMRC use, but Kieran explained everything in the best possible way, told me the price they’d charge after 5 minutes of speaking.”

Questions

Questions SaaS founders usually ask first

Yes. Subscription billing and deferred revenue recognition are not unusual complexity for us. We work with digital and cloud-based businesses regularly and will categorise your income correctly from the outset. You will not need to spend the first call explaining how your billing model works.
Once your books are current, your corporation tax liability becomes visible throughout the year rather than at the end of it. Most clients have a clear picture of what they owe three to four months before payment is due — long enough to plan, not just react.
It is the most common situation when someone first comes to us. Catching up takes a little longer and may cost slightly more at the start — we will tell you exactly what that looks like upfront, before anything is agreed. Once current, keeping it current is straightforward.
No. Month-to-month, cancel with a month’s notice. We would rather keep clients because the service is worth continuing than because leaving is inconvenient.
